Project Intake Process

University Communications and Marketing provides marketing and communications services to the university community. If you are seeking our support, please review our project intake process below and submit your request.

Project Intake Submission Timeline

UCM will accept project requests during three sprints throughout the year. Breaking submissions into these three sprints will allow our team to better plan out projects throughout the year and provide the campus community with an accurate idea of our bandwidth. We encourage you to plan ahead as much as possible to meet these deadlines.

Sprint 1

Projects due between Sept. 1, 2024 and Jan. 31, 2025

  • Submit your request between Aug. 1 and Sept. 20, 2024

Sprint 2

Projects due between Feb. 1 and May 31, 2025

  • Submit your request between Nov. 11, 2024 and Jan. 17, 2025

Sprint 3

Projects due between June 1 and Sept. 12, 2025

  • Submit your request between Mar. 17 and May 9, 2025

The project intake form will be paused between Sept. 21 - Nov. 10, 2024; Jan. 18 - Mar. 16, 2025; and May 10 - July 20, 2025. You can still submit a request during this time; however, we will not review the request until the next sprint.

Review Process

If you are seeking UCM’s support, submit a project request so that your request will enter our queue to be reviewed. A project request should be submitted for all projects; please do not email UCM members individually. This may delay your request being reviewed.

How to submit

  • Goals and objectives
  • Messaging
  • Strategic priority
  • Due date
  • Audience (and quantity/target audience size)
  • Estimated budget and Cost Center

What we review

During each sprint, we will review all requests that are submitted through the project request form on Mondays. Projects submitted after Monday afternoon will be reviewed the following week. Before accepting a request, we will review each submission to see if it aligns with the University’s strategic priorities and if UCM has the available resources/time to help with the request.

What happens after your request is reviewed?

Once UCM has reviewed your request, we will determine one of the following outcomes:

Your project request is approved

UCM will reach out to you to let you know your project has been approved and work with you on kicking off the project, as needed.

Your project request is on hold

UCM isn’t able to make a decision on your request and needs more information. We will connect with the appropriate parties to gather more information before making a final decision.

Your project request is denied with additional resources

UCM is unable to assist with the project, but we can provide some additional resources to help you complete the project on your own. Projects could be denied for the following reasons: 

  • Your project does not meet one of the University’s strategic priorities.
  • We cannot complete the project within the requested due date.
  • The deliverable is not a service that UCM provides.
